The Service gives each person in your organization an AI agent, connected to the work tools your team already uses, with a shared company memory.

Who Is Responsible for Your Data
When an organization (your employer or company) sets up Mnemio agents for its team, that organization decides what tools are connected and what information goes into its company memory. For that workspace data, the organization is the controller and Mnemio processes the data on its behalf and under its instructions. For your account details and our website, Mnemio is the controller.
Information We Collect
- Account information. Your name, email address, organization, role, and password (stored hashed), or your Google profile details if you sign in with Google.
- Connected tools. When you or your organization connect tools such as Gmail, Slack, Google Drive, Google Calendar, Notion, or WhatsApp, we store the access tokens and process the content your agent needs (for example emails, messages, files, and calendar events), within the permissions you authorize.
- Agent memory. What your agent learns while working with you, such as your preferences, approval rules, and how you like work prepared. Each item is kept as either work memory or personal memory.
- Company memory. Knowledge that people in your organization choose to share with the whole company, such as client preferences, policies, and templates.
- Requests and approvals. Records of agent requests (for example one agent asking another for a file), the reason given, and who approved or declined them.
- Payment information. Payments are processed by our payment partners. We receive transaction details such as amount, status, and payment identifiers, but we do not store your full card number or banking credentials.
- Usage and device data. Log data such as IP address, browser type, pages visited, and actions taken within the Service, used for security and to improve the product.
How We Use Your Information
- To run your agent: find information, draft and prepare work, and act in your connected tools when you ask it to.
- To keep your agent's memory and your organization's company memory, so agents can use what has already been learned.
- To route requests between agents in the same organization and collect the owner's approval before anything is shared.
- To process payments and prevent fraud.
- To communicate with you about your account, transactions, and important Service updates.
- To monitor, debug, and improve the Service, including measuring feature usage in aggregate.
- To comply with legal obligations.
AI Processing
Your requests and connected-tool content are processed by third-party AI model providers to produce answers and drafts. We share only what is necessary to fulfill each request. We do not sell your content, and we do not use your private workspace content to train our own models.
Data Retention
We keep account information, agent memory, and company memory for as long as the account or organization is active, or as needed to provide the Service. Disconnecting a tool stops further access to it. Your organization can ask us to delete its workspace data, and you can ask us to delete your account. Transaction records are kept as required by tax and accounting laws.
Security
We use industry-standard measures to protect your data, including encryption in transit, hashed passwords, access controls, and separation between organizations. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please use a strong, unique password and keep your credentials confidential.
Your Rights
Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. For workspace data, we may need to work with your organization to handle your request. To exercise these rights, contact us through our contact page. We will respond within the timeframe required by applicable law.
International Transfers
Our infrastructure and service providers may be located in countries other than your own. Where data is transferred internationally, we take reasonable steps to ensure it receives an adequate level of protection.
Children's Privacy
The Service is not directed at children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, please contact us and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date. For material changes, we will provide additional notice through the Service or by email.
